Outset Contemporary Art Fund (UK) is seeking a dynamic and experienced Grants Coordinator to play a pivotal role in supporting our Outset Partners grants programme.

Since 2018, Outset Partners-a group of internationally-based patrons-has collectively awarded over £1.8 million to 29 ambitious contemporary art projects worldwide. This innovative funding model is driven by collaboration, rigorous research, and a shared passion for supporting the global cultural sector. About the Role

As the Grants Coordinator, you will work closely with our Director, Research Fellow, and Outset Partners to ensure the seamless delivery of our grants programme. You will manage a portfolio of projects with leading international public institutions, oversee grant administration processes, and play a key role in coordinating meetings with stakeholders.

This role combines project management, stakeholder engagement, and data analysis in a fast-paced environment. You will also have the chance to contribute to shaping our processes and raising awareness about the impact of our work.

Key Responsibilities

Project Management:

  • Oversee live projects, liaising with institutions and monitoring progress.
  • Ensure adherence to grant conditions and maintain detailed project records.
  • Track outcomes for previously supported artists and institutions.

Grants Cycle Coordination:

  • Support the Research Fellow in managing the annual grants cycle, from reviewing applications to coordinating meetings and providing feedback to applicants.
  • Conduct data analysis on applications and contribute insights to shape future priorities.

Contract & Financial Management:

  • Draft grant agreements, raise invoices, and coordinate financial reporting.
  • Ensure compliance with funding regulations through regular check-ins with grantees.

Stakeholder Communications:

  • Build strong relationships with donors, applicants, and partners through clear communication.
  • Manage updates to Outset's website and raise public awareness about funded projects.

What We're Looking For

We are seeking someone who both thrives in a collaborative environment and is confident working independently. You should be highly organised, detail-oriented, and able to juggle multiple priorities effectively.

Essential Criteria:

  • At least two years' experience in a similar role (e.g., grants administration).
  • Strong knowledge of grant management processes.
  • Proven ability to review large volumes of applications and distil key themes clearly.
  • Excellent organisational skills with an eye for detail and accuracy.
  • Confident communicator comfortable engaging directly with donors and applicants.
  • Self-starter capable of working independently with excellent time management and ability to set priorities.

Desirable Criteria:

  • Experience in the arts or philanthropic sectors.
  • Interest in contemporary art debates or trends.
  • Familiarity with tools such as Mailchimp, Capsule CRM, Airtable, Squarespace/WordPress.
