A Hunt & Co (CITY) Limited is a comprehensive services provider for office refurbishments, space planning, plumbing, electrical, furniture, fittings, roofing, and general works. We are seeking an organized, detail-oriented Administrative Assistant to join our team. The ideal candidate will have strong administrative and bookkeeping experience, with familiarity in the Xero platform. Key Responsibilities:
- Provide comprehensive administrative support to the team, including scheduling, email management, and document preparation. Handle basic bookkeeping tasks such as managing accounts payable/receivable, invoicing, and reconciling transactions.
- Maintain organized records, files, and databases for financial and general administrative tasks. Assist with payroll processing, as required. Act as a liaison between the finance team and other departments, ensuring seamless communication. Support in managing office supplies and other day-to-day administrative duties. Provide comprehensive administrative support to the team, including scheduling, email management, and document preparation.

- Provide administrative support to management and staff. Schedule meetings, appointments, and manage calendars. Answer and direct phone calls, take messages, and respond to inquiries.Prepare and proofread documents, reports, and presentations.
- Organize and maintain filing systems, both electronic and paper.Assist with travel arrangements and accommodations as needed.
- Assist the team with organising office events, meetings, and conferences.
- Perform general clerical duties, including photocopying, faxing, and scanning. Provide support for projects and other administrative tasks as required.
- Act as a liaison between our company, clients and subcontractors
- Liaison between suppliers and our team; Placing equipment orders when requested.
- Ensuring all H&S documents prior to works commencing are ready and submitted and approved by the clients.
- Any other ad hoc tasks that arise on a daily basis
This is a full-time on-site role, no hybrid.
Qualifications
- Proven experience in administrative support or office management.
- Strong bookkeeping background with hands-on experience in financial record-keeping.
- Proficiency with Xero accounting software is a must. Additional experience with accounting platforms is a plus.
- Solid understanding of basic accounting principles and financial transactions.
- Excellent communication skills, both written and verbal.
- Strong organizational skills with an ability to multitask and prioritize.
- High attention to detail and a proactive attitude.
- Ability to work independently and as part of a team.
