We are seeking a motivated and detail-oriented Property Inventory Coordinator to take ownership of our asset verification and management processes. In this role, you will help ensure the accuracy, accountability, and integrity of all company assets across multiple locations.

The Role

As a Property Inventory Coordinator, you will play a vital role in maintaining and improving the company's asset control systems. You'll be responsible for verifying, cataloguing, and managing physical assets, implementing effective asset management software, and ensuring all records are accurate and audit-ready. This role requires a hands-on professional who enjoys organisation, data accuracy, and process improvement.

Key Responsibilities

  • Conduct detailed physical verification of all company assets across assigned properties. Record asset details including description, condition, location, value, serial number, and photographic evidence. Create and maintain a digital asset catalogue or register using the approved asset management system. Research, evaluate, and recommend suitable asset and inventory management software to meet company requirements. Implement the chosen software and train relevant team members on its effective use. Develop and document Standard Operating Procedures (SOPs) for asset management, covering tagging, maintenance, movement, and disposal. Ensure all system data is accurate, current, and compliant with company and audit requirements. Investigate discrepancies or irregularities in asset records and recommend corrective actions. Collaborate with Finance, IT, Operations, and Housekeeping teams to align asset management practices. Prepare regular reports on asset status, movement, and audits for management. Support internal and external audits by providing accurate data and documentation. Maintain confidentiality and comply with data protection policies when handling company information. Be available to work flexible hours, including weekends, when required for asset verification or project timelines. Travel between company properties as necessary to perform verification and management duties. Perform other related duties as required by management.

What We're Looking For

We are seeking a professional with: Experience: Minimum 5 years in asset, inventory, or facilities management (Desirable). Technical Expertise: Strong knowledge of asset tagging, tracking, and inventory control systems (Essential). System Knowledge: Familiarity with asset management software such as AssetTiger or EZOfficeInventory (Desirable). Organisation & Detail: Excellent documentation skills and meticulous attention to detail (Essential). Technical Skills: Proficiency in Microsoft Office and data management tools (Essential). Documentation & Photography: Basic photography and digital documentation abilities (Essential). Independence: Ability to manage projects across multiple properties with minimal supervision (Essential). Communication: Strong interpersonal, coordination, and reporting skills (Essential). Process Improvement: Experience in setting up or enhancing asset management systems (Desirable). Flexibility: Willingness to travel between company locations (Essential). Driving Licence: Full UK Driving Licence (Desirable).
