KEY PURPOSE OF THE ROLE:

  • Provide core diligent and efficient management of the day-to-day operations of the Artists' Services Team.

  • Be responsible for managing, maintaining and improving the Artists' Services Team's data and related processes in DACS database. Work closely with colleagues to ensure information is efficiently and correctly input, managed and reported on.

  • Provide excellent customer service to members through timely and personable communication, ensuring DACS customer service standards are met at all times.

  • Support the recruitment of artists to DACS services and the retention of existing members.

RESPONSIBILITIES:

Support the day-to-day operations of the Artists' Services Team

  • Working with the team to deal with incoming enquiries and resolving these in a timely manner or triaging enquiries to other team members, as appropriate.

  • Lead liaison with the Finance, Distribution and Payback Team's on resolving any payment or data issues. Ensuring monthly and quarterly royalty payments are held or released accordingly.

  • Dealing with membership related queries and correspondence, including over the phone.

  • Assisting the Communications team with member mailers and long tail member engagement.

  • Working with the team on membership management, including new member and end of membership processes.

  • Compiling and providing reports and stats, where requested.

Data management

  • Being responsible for managing membership data in DACS internal database, including regularly reviewing payments on hold and contacting and obtaining updated details.

  • Overseeing and inputting members' personal details including contact, bank, tax and copyright duration. Ensuring members' records and payment statuses are up to date and they are receiving their due royalties.

  • Work cross-departmentally to propose, scope, test and implement improvements to DACS database. Regularly reviewing the team's processes to ensure that they continue to be streamlined and fit for purpose.

  • Managing and populating the unique preferences of individual artists and estates including waivers and assignments. Ensuring details are accurately reflected and kept up to date in the system.

  • Ensuring the team's GDPR and related data protection obligations are being met by regularly reviewing, archiving and deleting historic data. Effectively manage the administration of members' files, including scanning, electronic storage and maintenance. Keeping both the digital and hard copy files in good order.

Research and recruitment

  • Managing and triaging membership leads provided by other teams and other potential cross-selling opportunities.

  • Researching, contacting and recruiting artists and artist estates for whom we have royalties.

  • Working across teams to research up-and-coming exhibitions, events and private views by DACS members and selected non-members. Update and maintain a schedule of exhibitions and events.

  • Working with the team on early career artist engagement, including carrying out in-person and online talks and presentations.

  • Working with the team to recruit the beneficiaries of an estate when a member dies, including dealing with solicitor correspondence and requests pertaining to historic transactions. Research, locate and register the new beneficiaries whilst also ensuring due diligence is carried out.

General

  • Have a thorough and up-to-date knowledge of all DACS services and be able to communicate them effectively to artists and artist estates.

  • Maintain the accuracy and quality of all databases in a timely way.

  • Assist with the organisation of events and seminars on DACS services as required.

  • Take part in cross organisational projects and support a culture of cross-organisational working to maximise operational benefits.

  • Ensure you share your knowledge with others in DACS i.e. communicate knowledge at meetings, informally and/or via email/other systems, document processes.

  • Contribute to the smooth introduction of any new technology to minimise use of paper and provide streamlined services.

  • Demonstrate a commitment to the ethos and values of DACS and act as an ambassador for DACS in the art world and related industries.

  • Contribute to the overall objectives of DACS, ensuring you are up to date on what they are and how your role contributes to them.

  • Maintain a good understanding of the contemporary art world and attend exhibitions and events as required.

  • Demonstrate an understanding of and commitment to equal opportunities and diversity.

  • Undertake any other duties as commensurate with the role and the needs of DACS.
