3D Personnel are looking for an experienced Technical Administrator to support our clients Engineering teams.
Our client is an award winning M&E Building Services, Design & Project Management Consultancy based in London.
Key Responsibilities:
- Produce and manage documents at both business and project levels, including flow charts, policies, procedures, commissioning documents, and business and project level organigrams.
- Maintain and, where appropriate, improve the standardised filing structure for all projects and design projects.
- Co-ordinate procurement activities, including raising purchase orders and obtaining quotes, tracking project progress and liaising with suppliers and contractors.
- Support pre-qualification processes by consolidating supporting documentation.
- Assist engineering and proposals teams in the development of estimating and proposals documents, including document registers and filing systems.
- Assist Engineers with technical tasks, such as data entry, design filing and registering, report generation and maintaining technical records
- Arrange cost-effective travel and accommodation for site visits, client meetings, and supplier engagements.
- Schedule meetings, manage calendars and prepare and distribute documentation
- Maintain Action Trackers
- Take meeting minutes and distribute them as needed.
- Coordinate procurement activities, including tracking project progress and liaising with suppliers and contractors.
- Serve as a point of contact for internal and external stakeholders, ensuring effective communication and timely resolution of queries.
Key Skills & Experience:
- Previous experience in a similar role within a technical (ideally engineering) environment.
- Excellent verbal and written communication skills, with the ability to engage with a wide range of stakeholders.
- Effective time management skills, ensuring the timely completion of multiple tasks.
- High attention to detail, ensuring the presentation of user-friendly and high-quality documentation.
- Understanding of project coordination, including awareness of planning and milestones.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software.
- Experience in scheduling/resource planning is desirable.
- An interest in engineering would be advantageous.
- Ability to work independently and as part of a team, with a proactive approach to problem-solving and a commitment to continuous improvement.
