We are seeking a dynamic and detail-oriented Conference Producer to join our team. The ideal candidate will be responsible for researching, developing, and delivering compelling conference programs that align with industry needs and trends. You will work closely with the internal teams to ensure the success of our events, from concept through execution.
What you'll be doing...
Research and Development:
- Conduct indepth research on industry trends, emerging topics, and key challenges to identify relevant conference themes and content.
- Develop agenda topics and secure highlevel speakers who are leaders in the field, ensuring alignment with audience interests and industry needs.
Content Creation:
- Draft and finalize session descriptions, event agendas, speaker bios, and promotional content.
- Ensure the conference content remains timely, relevant, and attractive to target audiences.
Speaker Management:
- Identify, recruit, and liaise with potential speakers and moderators, establishing strong relationships and ensuring clear communication on expectations.
- Coordinate speaker schedules, presentation requirements, and panel discussions to ensure a seamless and engaging program.
Attendee Acquisition
- Research targeted jobtitles from the biotech’s and pharmaceuticals companies in Suzhou region and across China, alongside pitching them over the (phone, LinkedIn, email) with a view to invite to the conference and registering them to attend through our platform
- Manage the cycle of registration and ensuring the delegates turn up onsite once there are booked
- Present and networking our solution to senior level executives over the telephone.
- Maintain up to date reporting for sales campaigns, through CRM system
Project Management:
- Plan and manage each aspect of program production, including timelines, campaign management, speaker budget and speaker outreach.
- Work with internal teams, such as marketing, sales, and operations, to align promotional efforts and maximize attendance.
On-Site Management:
- Oversee conference delivery, manage live sessions, and resolve any issues during the event to ensure a smooth experience for speakers and attendees.
- Coordinate with event staff to ensure highquality production, including audio/visual elements and overall logistics.
Post-Event Analysis:
- Gather feedback from attendees, speakers, and internal teams to assess the conference’s success and identify areas for improvement.
- Create postevent reports and analyses to measure the event’s impact, track key metrics, and guide future event planning.
What we're looking for...
- Fluent in Mandarin & English (Both Excellent Written & Spoken Skills)
- Confident communicator able to hold peer to peer level meetings with CSuite Executives.
- Ability to work autonomously across different time zones
- Ability to travel to attend and delivery the event in Suzhou in September as well as occasional client meetings in the Suzhou/Shanghai area if required
- Experience in conference production and delivery; Research, Agenda, Speaker Acquisition, Delegate Acquisition, Key partnerships (government/media/ NGO/ Other and key relationships)
- Event promotion through effective knowledge of professional social media, digital marketing and personal network/relationships
- Mandarin Speaker is essential
- Bachelor’s degree in journalism, Communications, Business, or a related field.
- 3+ years experience in conference production, event planning, or a similar role will be considered.
- Strong research skills, with the ability to identify industry trends and translate them into relevant conference topics.
- Excellent organizational, project management, and multitasking abilities.
- Exceptional written and verbal communication skills ( In English and Mandarin) ideally with experience in speaker management and agenda development.
- Ability to work effectively under pressure and manage multiple deadlines.
- Proficiency in Microsoft Office and SLIDO
