Job Requirements/Description

The Import Operations Clerk will be responsible for managing the day-to-day coordination and administration of import shipments, primarily airfreight, but with exposure to sea and road freight as well. The role requires excellent attention to detail, communication, and organisational skills, ensuring that shipments are cleared and delivered efficiently while maintaining high customer service standards and compliance with customs regulations.

Key Responsibilities
  • Manage the full process of import shipments from arrival to final delivery.
  • Handle airfreight import documentation, including AWBs, invoices, packing lists, and certificates of origin.
  • Coordinate with airlines, shipping lines, overseas agents, hauliers, and customers to ensure smooth cargo movement.
  • Arrange customs clearance, working closely with internal or external customs brokers.
  • Prepare and submit import entries using CHIEF/CDS systems (if applicable).
  • Track and monitor shipments, updating customers proactively on progress and resolving any issues or delays.
  • Liaise with customers on shipment status, requirements, and any additional services needed.
  • Raise files in the company's freight management system, ensuring all costs and revenues are accurately recorded.
  • Invoice files promptly and accurately in line with company policy.
  • Support the team with sea and road import shipments when required.
  • Ensure compliance with all HMRC and international trade regulations.
  • Maintain and build good relationships with customers and suppliers.
Skills and Experience Required

Essential:

  • Minimum 1-2 years' experience in import operations, ideally within a freight forwarding environment.
  • Strong knowledge of airfreight import procedures and documentation.
  • Understanding of customs clearance processes and familiarity with CDS/CHIEF.
  • Excellent communication and customer service skills.
  • Ability to prioritise workload and meet deadlines in a busy operational environment.
  • Strong attention to detail and problem-solving skills.

Desirable:

  • Experience handling sea and/or road freight imports.
  • Knowledge of Incoterms, customs tariff codes, and import compliance.
  • Familiarity with Cargowise, Sequoia, or similar freight software.
