This role is the heartbeat of the service operations, ensuring seamless communication and coordination between clients, engineers, and service management. Key Responsibilities - Service Management Compliance: Understand and operate company and service management procedures to the required standard.
- Information Management: Collate and manage telephone and email enquiries from clients and service engineers, escalating any issues promptly.
- Client and Team Communication: Maintain a close working relationship with the Service Account Manager, providing constant updates on scheduling and being the primary contact for service and maintenance queries.
- Work Order Management: Raise work order details with sufficient client POs on the Job Logic system, ensuring engineers are scheduled with minimal disruption.
- Job Coordination: Ensure engineers have correct job assignments and uploaded work information, scheduling remedial works and planning engineer hours effectively.
- Client Communication: Plan and coordinate remedial works, keeping clients informed and ensuring timely RAMS submission.
- Equipment and Parts Management: Track hire equipment for service jobs and source availability of parts, organising delivery and notifying engineers of delivery dates.
- Daily Job Tracking: Monitor previous day's work status with engineers, chase for job sheets within 48 hours, and update job status on Job Logic.
- Weekly Reporting: Manage and communicate the Job Logic dashboard, engineer work schedule, and distribution list updates for a weekly look-ahead.
- Timesheet Management: Chase engineers for timesheets weekly and issue to the Finance Manager.
- Logistics Coordination: Book hotels and travel arrangements for engineers when required.
- Meetings and Sub-Contractor Coordination: Attend service review meetings and organise subcontractor visits, ensuring paperwork is received and uploaded to Job Logic.
Qualifications and Skills - Proven experience in a similar role within an engineering or service-based business.
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency with service management systems, preferably Job Logic.
- Ability to work under pressure and to tight deadlines.
