VMS (Fleet Management) Ltd is part of the fast growing VMS Automotive Group offering a range of services comprising of Contract Hire & Fleet Management, Accident Management as well as offering Maintenance Services from our inhouse workshops and a leading provider of transport refrigeration systems, air conditioning solutions and converting panel vans into commercial, refrigerated vehicles. VMS Automotive operate nationwide with workshops and vehicle hire sites throughout the UK with our Head Office based in Stevenage and our Operations centre based in Bury St Edmunds.

As part of our continued growth, we are seeking an Authorities Manager to join our team at our Stevenage office. This critical role offers the opportunity to oversee and drive key aspects of maintenance cost control for a large fleet, including both light commercial vehicles (LCVs) and heavy goods vehicles (HGVs).

Key Responsibilities

As the Authorities Manager, you will:

Lead and Inspire

  • Manage, motivate, and develop a team of Maintenance Cost Controllers to achieve team and company objectives.

Repair and Maintenance Oversight

  • Process and authorise repair requests promptly, ensuring accuracy and compliance with company policies.
  • Oversee manufacturer warranty processes, ensuring efficient handling and alignment with warranty policies.
  • Support the Fleet Engineer in managing internal workshops, building repair networks, and ensuring adherence to compliance standards.

Fleet and Cost Management

  • Review and monitor spending across the fleet and repair network to maintain a safe, compliant, and cost-effective operation.
  • Provide detailed reports and insights on cost trends, repair patterns, and opportunities for cost reduction.

Audits and Invoicing

  • Conduct regular audits to ensure repair standards and financial accuracy.
  • Assist with internal invoicing processes and oversee workload allocation for the team.

Client and Supplier Relationships

  • Build and maintain strong, collaborative relationships with clients, repairers, and suppliers to enhance service delivery and operational efficiency.

  • Strong analytical and critical-thinking skills to assess costs and identify efficiencies.

  • Proficiency in Microsoft Office programmes, including Excel and PowerPoint, with the ability to create reports and presentations.

Drive and Initiative

  • Ownership of responsibilities, with a focus on continuous improvement and delivering measurable results.

Skills Required for the Role

Technical Knowledge

  • Comprehensive understanding of light and/or heavy commercial vehicle repair processes.
  • Ideally qualified to NVQ Level 3 or above in vehicle maintenance or a related field.

Team Management and Leadership

  • Proven experience in managing and motivating teams to achieve operational excellence.
  • Demonstrated ability to lead a team, fostering a positive and collaborative working environment.
  • Skilled in allocating workloads, managing team performance, and driving professional development.

KPI Achievement and Reporting

  • Strong ability to set, achieve, and report on Key Performance Indicators (KPIs), ensuring alignment with business objectives.
  • Analytical mindset to monitor performance metrics, identify areas for improvement, and implement effective strategies.
