Our client is a specialist healthcare facility providing integrative ancillary oncology services to patients. Their approach focuses on supporting those undergoing cancer treatment through a range of complementary therapies including IV therapies, photobiomodulation, Hyperbaric Oxygen Therapy (HBOT), and hyperthermia treatments.
Role Overview: We are seeking a warm, professional, and organised Receptionist to be the welcoming face of our clinic. As the first point of contact for patients and visitors, you will play a vital role in creating a positive, supportive atmosphere while ensuring the smooth day-to-day operation of the clinic. You will combine genuine empathy and understanding with a bubbly, positive personality that helps create an uplifting environment for patients during challenging times. From managing enquiries to scheduling appointments and coordinating with third-party providers, your contribution will help create a seamless and nurturing experience for everyone who walks through the door.
Key Responsibilities:
- Front Desk Management: Serve as the first point of contact, welcoming patients and visitors with warmth, professionalism, and positivity.
- Enquiry Handling: Respond to enquiries via phone and email, providing accurate information and escalating complex queries as needed.
- Appointment Scheduling: Manage the clinic's diary, schedule patient appointments, and coordinate with medical staff to ensure an efficient workflow.
- Daily Operations: Monitor and manage same-day schedules, addressing any adjustments or patient needs promptly.
- Coordination: Liaise with third-party providers to arrange blood tests, scans, and other patient services.
- Administrative Support: Support operations by managing patient intake processes, maintaining accurate records, handling correspondence, and assisting with other administrative duties to ensure smooth day-to-day functioning.
Key Qualifications and Experience:
- Experience in a customer-facing role, with prior reception experience preferred.
- Previous experience in a healthcare setting is preferred.
- Proficiency in using scheduling and booking systems.
- Familiarity with standard office software (e.g. email platforms).
