Our client, a leading name in specialist gallery services and fine art logistics, is seeking an Operations Assistant to join their busy team near Heathrow. This is a fantastic opportunity to work within an organisation renowned for precision, compliance, and exceptional client service.
The RoleAs Operations Assistant, you will play a key part in coordinating domestic andinternational shipments-including high-profile art fairs-while ensuring artworks are handled with the utmost care and efficiency.
Key responsibilities include:
- Coordinating UK and international transport and storage of fine art pieces
- Preparing collection/delivery notes, commercial invoices, and customs/shipping documentation
- Managing job files end-to-end: quoting, costing, invoicing
- Updating CRM systems and maintaining accurate storage records
- Liaising with clients, suppliers, and internal teams to deliver seamless service
- Managing T-Forms and customs entries for European trucks
- Supporting business development to increase turnover and profit
Essential Skills & Experience- Strong communication and numeracy skills, with keen attention to detail
- Proven experience in shipping or logistics
- Understanding of shipping documentation, customs entries, and transport processes
- Ability to prioritise and work under pressure to tight deadlines
- Proficient in Microsoft Office (Outlook, Word, Excel, Teams)
Desirable:
- Knowledge of fine art logistics or gallery services
- Familiarity with in-house IT/CRM systems

- Basic DBS (criminal record) check
- 5-year background check (including explanation of any gaps of 28 days or more)
- Driving licence check
