People Operations Coordinator

We're looking for an enthusiastic People Operations Coordinator/ HR Coordinator to join our People team, who is committed to promoting a vibrant, fair and inclusive workplace where compliance with policies, procedures and best practices are at the core of all people-related matters.

ROLE DEFINITION

The People Operations Coordinator plays a crucial role in supporting employee engagement, recruitment, onboarding, and other HR / People-related administrative tasks. This post serves as a key point of contact for employees, ensuring smooth HR and People processes, promoting a positive work environment and providing administrative support to People Team.

You will be required to have an attention to detail, strong organisational skills and a process driven mindset. You will also need to take a proactive role in providing the administrative support needed to align the department and Company s objectives, while also being committed to promoting a vibrant and inclusive workplace where compliance with policies, procedures and best practices are at the core of all people-related matters.

Recruitment Support

  • Assist in job posting, candidate sourcing, and scheduling interviews
  • Coordinate with hiring managers to facilitate the hiring process
  • Manage candidate communications and provide a positive candidate experience.
  • Assist with the administration of Early Careers initiatives, including open day events.
  • Update recruitment activity on the recruitment tracker and assist with monitoring and reporting.
  • Assist in managing the ATS system for recruitment, ensuring adverts are posted in the correct platforms and recruitment administration and process are followed.

Onboarding and Offboarding

  • Assist with conducting any required pre-employment screening and reference checks.
  • Facilitate the onboarding process for new hires, including preparing materials and conducting orientation sessions.
  • Ensure proper documentation is completed and maintained on PHR
  • Assist with staff inductions and general training / briefings including monitoring completion of mandatory training ( Integrity Suite).
  • Assist with employee exit processes and ensure smooth transitions.
  • Assist with reference requests

Employee Engagement and Communication

  • Assist with the monitoring and management of the People email accounts, to ensure timely responses to emails.
  • Assist in organising and planning company People departmental events, employment recognition initiatives and wellbeing activities.
  • Support the maintenance of open lines of communication in ensuring that employees are directed to the correct person or provided accurate information.
  • Champion EDI policies and promote positive and inclusive initiatives culture across departments and the company.

HR / People Administration

  • Assist in payroll preparation by providing relevant employee information.
  • Assist in preparing and processing HR documentation, including contracts, policies, and performance reviews.
  • Assist People Business Partners with administration support on People projects.
  • Support L&D team with talent and work-force management at all levels within the organisation.
  • Help to ensure that the organisation remains compliant in all ethical labour and workforce employment audits.
  • Have a good working knowledge of PeopleHR (HRIS System), ensuring data is accurate and up to date and ripples are correct and updates are implemented.
  • Provide HR / People administrative support to employees in offices and projects within the UK and EU.
  • Support People team with project administration.
  • Assist with preparing HR metrics and data analytics for the people team.
  • Assist in manging the People email accounts, ensuring messages are filtered, responded to or sent to the correct People team member or member of staff / department.

Policy and Compliance

  • Stay updated on basic relevant construction / MEP workforce and HR issues
  • Support the people department and the company to meet its ESG targets
  • Provide administrative support in policy implementation and tracking.
