Document Controller

Willmott Dixon are currently looking to recruit a Document Controller to join our London & East construction business. Based in Hitchin, Hertfordshire, we deliver projects across multiple sectors within north London, the northern home counties and East Anglia. This will be a hybrid role working 3 days a week in the office and 2 days a week from home.

The main purpose of the role is to maintain the project filing system and prepare documents for storage/archiving as appropriate, alongside completing Operational Manuals for customers. Reporting to the Principal Digital Construction Manager, the successful candidate will support team members in maintaining the smooth running of the administration function and will be working closely with the design team.

The Role

As a Document Controller you will support the tender and compliance process through end-to-end project documentation support, with direction from your line manager and in collaboration with the wider team. You will bring associated risks to the attention of your line manager and relevant colleagues and support the development/implementation of remedial action. You will follow appropriate processes to ensure the security of sensitive information.

Key responsibilities will include:

  • Assist with end-to-end information management across a portfolio of projects, working closely with your line manager and colleagues.
  • Assis with the management of the O&Ms.
  • Work collaboratively with the team to ensure tender compliance and traceability of information is maintained, validated and requested in a timely manner to meet our contractual obligations.
  • Communicate compliance requirements to internal stakeholders and support them to implement appropriate actions.
  • Work with colleagues to provide information management support for tender processes.
  • Engage with external stakeholders, including consultants and supply chain partners, to ensure information is up to date, accurate and high quality.
  • Identify risks and contribute to the security of sensitive information, communicating non-compliance cases to appropriate line managers.
  • Support the conducting of information management policy audits and documentation in the line with internal and external requirements.
  • Support the digital enablement of the wider business.

Essential and Desirable Criteria

Essential Qualifications, Skills, Knowledge and Experience

  • Proficient in Microsoft applications
  • Strong written and verbal communication skill

Desirable Qualifications, Skills, Knowledge and Experience:

  • BSI ISO Accredited/BRE
  • Valid UK driving licence
  • Knowledge of different CDEs

Personal qualities:

  • Skilled at following instructions.
  • Good communicator and active listener.
  • Eager to learn, and capable of processing information easily and calmly.
  • Enjoy interacting with stakeholders.
  • Good organisational, administrative and diary management skills.
