Senior IFA Administrator - Guildford

Salary: £34,000 - £38,000 (dependent on experience)

Hours: 9am - 5pm, fully office based

An established and expanding financial planning firm based in Guildford is seeking an experienced Senior IFA Administrator to join its growing team.

This new position has arisen due to continued business growth and offers an excellent opportunity for an experienced professional to support Financial Advisers and Paraplanners in delivering high-quality, compliant advice to clients. The role will suit someone who enjoys variety, takes pride in attention to detail, and has experience in both administration and light paraplanning responsibilities.

Role Overview

The successful candidate will be involved across three key areas of the business:

  • Administration (60%)
  • Paraplanning support (20%)
  • Work quality checking (20%)

Key Responsibilities

Administration:

  • Work closely with Financial Planners and the Support Team to deliver excellent client service.
  • Act as a point of contact for clients, ensuring clear and proactive communication.
  • Maintain accurate client records and update back-office systems.
  • Process new business, account applications, and policy changes in line with company procedures.
  • Prepare documentation, valuations, and reports for client meetings.
  • Liaise with product providers and third parties to obtain information and manage client requests.

Paraplanning Support:

  • Draft detailed and compliant suitability reports across a range of advice areas.
  • Conduct research on existing and recommended products, including fund analysis.
  • Ensure all compliance documentation and provider paperwork are completed accurately.
  • Collaborate with Financial Advisers to clarify client objectives and gather necessary data.

Work Quality Checking:

  • Review administrative workflows to ensure processes are followed correctly.
  • Support the Administration Manager in maintaining quality and efficiency standards.
  • Conduct periodic work reviews and spot checks across the admin team.
  • Provide constructive feedback and highlight any training or process improvement needs.

Candidate Requirements
  • Minimum of 5 years' experience in IFA administration, directly supporting Financial Advisers.
  • Strong understanding of pensions, investments, and financial planning processes.
  • Experience using Intelligent Office or similar back-office systems.
  • Confident user of Microsoft Word, Excel, and Outlook.
  • High attention to detail with excellent written and verbal communication.
  • Previous experience in a senior administrative role and comfortable reviewing colleagues' work.
  • Candidates based in or around Guildford, with access to transport, are preferred.
