Harris Hill is looking for an Events Assistant for 12 weeks, working 3-4 days in the office and 1-2 days at home, for a London based charity.
About the Role:
You will support the end-to-end coordination of events, ensuring logistics, administration, and on-the-day operations run efficiently. Working closely with the events team, you'll help manage vendors, prepare documentation, and provide hands-on support during live events to maintain high standards and timely delivery.
Key Responsibilities:
Assist with planning and scheduling event activities, timelines, and logistics.
Coordinate with vendors and suppliers to confirm bookings, deliveries, and service requirements.
Prepare and maintain event documentation, including run sheets, contact lists, and checklists.
Support event registration processes, guest lists, and attendee communications.
Handle general administrative tasks such as filing, data entry, and updating event records.
Provide on-the-day event support, including set-up, signage, registration desks, and guest assistance.
Liaise with venue staff to ensure room layouts, equipment, and catering are delivered as agreed.
Help with post-event wrap-up, including collating feedback, photos, and basic reporting.
Key Requirements:
Proven experience supporting events, with exposure to planning and coordination activities.
Strong organisational skills with the ability to manage multiple tasks and deadlines.
Confident communicator, able to liaise effectively with vendors, venues, and internal stakeholders.
Solid administrative and office skills, including accurate data entry and document management.
Comfortable working on-site at events, including occasional early starts or late finishes.
High attention to detail and a proactive, problem-solving approach.
Desirable Skills:
Experience working on corporate or public events in London.
Familiarity with basic event management tools or CRM systems.
Experience handling guest registration and check-in processes.
Knowledge of event health and safety considerations and procedures.
Qualifications:
GCSEs or equivalent as a minimum, including English and Maths.
Further education in Events Management, Hospitality, Marketing, or related field preferred.
Any short courses or certificates in event planning or coordination would be an advantage.
