Budgets, Planning, Engagement Administration Officer

As a Project Support Officer, you'll play a key role in supporting our not-for-profit client's Collection Care team. You'll lead budget tracking, enhance financial workflows, and assist with budget analysis and reporting.
Your new role

  • Be the go-to person for finance queries from Collection Care colleagues, casual staff, and other departments.
  • Collaborate with HR and Finance/Accounts to improve workflows.
  • Share best practices for using our finance systems and support colleagues with expense claims.
  • Process transactions on our finance system, ensuring accurate coding.
  • Reconcile monthly Management Transaction Reports with planned Purchase Order expenditure.
  • Support the Leadership and Management Teams with budget management and provide timely information for quarterly forecasting.
  • Meet with budget holders and the Collection Care Management Accountant to note and communicate action points.
  • Analyse trends and provide insightful data for strategic budget planning.
  • Prepare the monthly payroll submission and liaise with HR Operations if issues arise.
  • Administer year-end processes, including accruals and prepayments.
  • Raise sales invoices against costs recovered and income.

  • Proven experience of providing support within a busy office environment.
  • Commitment to outstanding customer-focused service.
  • Experience in setting up, maintaining, and improving administrative processes. ERP systems experience is a plus.
  • Excellent communication and interpersonal skills, confident in dealing with all levels internally and externally.
  • Highly organised with the ability to prioritise, coordinate, and delegate tasks to meet deadlines.
  • Experience in budget monitoring and negotiating with suppliers, with strong numerical accuracy.
  • Proficiency in MS Office packages, databases, and spreadsheets, with advanced Excel skills.
  • Proactive, flexible approach, able to work independently and as part of a diverse team, treating all with dignity and respect.

  • Reporting to the Office Manager.
  • Salary: £18.00 per hour including holiday pay.
  • Start date: 3rd Thursday in April.
  • Online interviews week starting 24th March.
  • 35-hour week, no overtime required.
  • Flexible working available: 10:00-16:00 core hours.
  • Strong focus on mental and personal welfare.
  • Friday work-from-home, with IT equipment provided.
  • Mandatory online training for the first 3 days, including team integration and security pass setup
  • 2 days in the office only, additional days depending on business needs.
